2022​

  • February 15: Article 3, Section 10 has to be put at the bottom of every late payment letter

 

2021​

  • October 19: The Community Building cannot be given away for free until after Board approval. This does not include the alread approved 6 holiday community parties. 

  • October 12: The Community Building will not be allowed to be rented to outsiders

  • March 23: The Treasurer, the President, the Secretary, and the Vice President are authorized to sign the checks for Fincastle Heights Mutual Ownership Corporation (any two of the four)

  • February 17: Fincastle will get a baby monitor to put in the Board Room so that during Board Meetings the Property Manager can see who is walking into the office from the Board Room while taking minutes

  • February 2:  Any and all committees appointed to review any given circumstances, will report directly to the Board of Trustees with their "recommendations", and the final decisions are to be made by the Board of Trustees

2020​​

  • November 7: If less than 40 residents attend the Special Meetings to vote on an appeal, the vote will still be accepted and approved. The vote will still need sixty-six and 2/3 percent vote to terminate the membership. This motion will only apply while Kentucky is under mass gathering restrictions

  • October 13: Board will allow a section in the bulletin for residents to list items for sale or items that they want

  • July 21: Approved the following budget for Holidays

    • Easter, 4th of July, Derby, 9/11, and Halloween - $300

    • Christmas - $700

 

2019​

  • July 23: Approved a budget of $500 to design landscaping outside of the office

 

2016​

  • February 9: Board will allow paid ads placed on the bulletins that are sent out

 

2015

  • December 8: Must wait to send out the meeting minutes until they are approved at the next month’s meeting

  • September 8: Meetings are no longer allowed to be recorded

 

2014

  • December 9: Birthdays will no longer be put in the bulletins for security reasons

  • October 14: Decided to join the Camp Taylor Neighborhood Association

 

2013

  • April 9: Approved destroying old files that are no longer needed

 

2011

  • December 13: Can review motions within 6 months (had to wait until after 6 months before)

 

2004

  • April 27: If there is a general membership meeting to vote on spending over $5000 and 40 members do not show up, the Board can have a quorum. Residents must be notified at least 4 days before but not more than 10 days prior to the meeting

 

2003

  • May 13: Flowers purchased for resident’s funeral can cost up to $50

 

2001​

  • January 9: The three parking spaces in front of the community building are to be designated as handicapped parking

 

2000

  • April 4: Along with a contractor’s bid, Fincastle also needs to be presented with a proof of insurance before any work is started

  • February 8: Any work needed in Fincastle, in any amount over $500.00 will be bid upon, sealed bids should be addressed and voted on by the Board of Trustees. No approval should be given by anyone other than the Board of Trustees

 

1999

  • February 9: Any “contract” work for over $500.00 must be “bid” upon. For every job, at least three companies should be contacted to submit closed bids to the Board of Trustees for approval

 

1997​

  • November 18: Fincastle will no longer allow non-members to attend monthly Board Meetings or General Membership Meetings

  • February 11: No letters will be read at the regular Board meetings; the exception being that the person is elderly, who is house-ridden, ill, could not show up, or is crippled. Also, that any letters that come into Fincastle be read first at the executive meeting and then voted on as to whether they should be read at the next regular Board meeting

 

1996

  • August 13: Copies of approved minutes of regular Board meetings will be sent out with the monthly bulletin from the previous Board meeting

  • August 13: There is a limit of $5,000.00 on what the Board can spend without further authorization. Beyond that, it should be brought before a general membership meeting and they would vote on it. This does not include things such as roofs, gutters, furnaces, tree trimming, etc. Those are things that have to be taken care of on a daily basis, and they should be done, but anything that is bought should have a ceiling

 

1995

  • September 12: In cases where residents are called before the Board to account for violations of the Corporation rules or policies and are found to be guilty of the offenses, the Board will have the option to impose a fine of between $50.00 to $500.00 per offense. A simple majority will be required to levy a fine. A motion to impose a fine in excess of $300.00 will require a majority of 5 or more. The resident will be required to make this payment to the Corporation no later than the due date of their next operating payment. Failure to make this payment when due will be treated with the same importance as their operating payment

 

1993

  • February 9: There will be “no smoking” in the main room during the General Membership Meetings

 

1992

  • December 8: The Corporation will adopt a permanent policy that in the event the Corporation chooses to rent or lease an apartment rather than sell it, the amount of rent charged will be at least 3 times the amount charged a member for operating payment at the time of initial rental and shall increase proportionally with any increase in operating payments

  • January 14: From this date forward, the Board will publish the names of those applicants that are up to have their application approved to enter Fincastle; publish it with monthly newsletter that goes out and ask all residents if they have any reason why they feel that any of these people should not be admitted to Fincastle or their application be approved; that they need to put this in writing only, sign it, date it, and drop it off at the office in a sealed envelope; no phone calls.

 

1990​

  • January 9: Beginning this February and every February thereafter, the Board will issue a “state of the Corporation” bulletin to include an itemized list of major improvements to Fincastle such as concrete porches, furnaces, replacement of windows installed; also give an attendance record of the current Board members

 

1987

  • May 12: Members of the Board get a copy of all applications, where they are on the list – all three lists

 

1986​

  • May 13: Any member who has suggestions (for the Code of Regulations), we will accept the suggestions, it will be put out and the Board Members will add or subtract from it at that time, and then we will call for a special General Membership Meeting to get it ratified

 

1971

  • December 21: Fincastle will discontinue giving Christmas baskets

  • September 14: Beginning this date, the Board will meet once a month on the second Tuesday of each month

 

1970​

  • September 9: The time for depreciation of the buildings for tax purposes will be limited to twelve (12) years

 

1969

  • March 26: The Board will start working on a booklet which would contain “Occupancy Regulations”; that five (5) people be appointed to o over the regulations and put them in a form that would be suitable for publication in this booklet; all of which would be subject to the approval of the Board. These booklets then could be issued to all present members, and to each new member as they move in

  • February 26: The Secretary of the Board will be provided with a list of all people who are scheduled to rent the Community Building and the club rooms, together with the dates of each rental. This list is to be kept up to date at all times

 

1967

  • February 8: The Board members personal folders, as prepared by the management, must be turned in to the Board at the termination of the individual’s term of office
